2017:97: Administrative Assistant I

Job Responsibilities:

Position Purpose:
Performs routine (journey-level) administrative support or technical program assistance work. Work involves disseminating information, maintaining filing systems, and performing administrative support work.  Works under moderate supervision, with limited latitude for the use of initiative and independent judgment.

Essential Responsibilities:
· Responds to internal and external routine inquiries.
· Maintains filing, record-keeping, and records management systems.
· Performs general administrative and office duties such as meeting minutes, scheduling appointments, travel arrangements, ordering supplies, performing basic bookkeeping work, and assisting with general human resources work.
· Answers and routes phone calls, takes messages, and greets and directs visitors to the appropriate staff.
· Assists in preparing and disseminating information concerning programs and services.
· Assists in preparing, editing, and distributing correspondence, reports, studies, forms, and documents.
· Assists in planning meetings, conferences, seminars, and events.
· Assists in the planning and execution of program activities and deliverables.
· Assists in compiling, editing, and entering data for charts, graphs, databases, summaries, or reports.
· May assist in researching, composing, designing, or editing publications such as brochures, forms, manuals, and reports.
· May provide basic administrative or technical training to others.
· May assist in the development of administrative or technical assistance policies and procedures.
· Participates in special projects and performs other duties as assigned.

Job Qualifications:

Minimum Qualifications

Education
• High School Diploma or equivalent

Experience
• 1 year clerical, secretarial, administrative support
o College education in business administration areas or technical training in clerical, secretarial or office administrative support-related areas may be substituted for experience on a year per year basis. (Education requirements may be satisfied by full-time education or the prorated part-time equivalent.)

Knowledge, Skills and Abilities

• Automated record-keeping methods

• The responsibilities associated with administrative practices and procedures to include writing, editing and report writing techniques, record keeping and records management
• Preparing correspondence/documents using correct spelling, grammar and punctuation; proofreading and reviewing documents for clarity and consistency
• Maintaining records, files and reports
• The responsibilities associated with administrative and office procedures to include the use of proper business telephone etiquette, internal communication strategies and use of basic office equipment

Work Environment
Requires working in an office/cubicle environment; sitting, standing, walking, bending, twisting and/or reaching. Requires repetitive movement; ability to lift, carry or move up to 25 lbs. when transporting work equipment or materials.  May require ability to operate a motor vehicle; the ability to travel by motor vehicle and commercial airline.  May require overnight travel.
